Vendor compliance software, narrowed to insurance verification

"Vendor compliance" is a category that sells everything from W-9 collection to OFAC screening to background checks. The piece nobody enjoys and most teams do badly is COI verification. That's the one piece COIverify does, and we do it exceptionally.

What "vendor compliance" usually bundles

Buyers searching "vendor compliance software" are usually looking for one of these jobs:

  • Insurance verification— proving every vendor has active general liability, auto, workers' comp, umbrella, and the right additional-insured language. Recurring, high-stakes, manual today.
  • W-9 / 1099 / tax compliance — collecting and tracking tax forms.
  • Sanctions / OFAC / debarment screening — checking vendors against government watchlists.
  • Diversity / supplier classification — tracking MWBE / DBE status for procurement targets.
  • Information security / SOC 2 / GDPR attestation— for technology vendors.
  • Background checks and credentialing — for field-service or healthcare verticals.

Generalist compliance platforms (SmartCompliance, Avetta, ComplianceQuest, ncontracts) try to do all of these in one product. The result is a wide tool that's mediocre at any given workflow, expensive, and sales-led.

Why we narrowed to one workflow

Insurance verification is the recurring, painful piece. A typical mid-market firm:

  • Tracks 50–500 active vendor COIs.
  • Spends 10–15 minutes per COI verifying limits, additional insureds, waivers, and expiration when done correctly.
  • Handles 10–50 new or renewed COIs per month — that's 8–50 hours of skilled clerical labor.
  • Has a "missed expiration risk" that translates to $50K–$5M of uninsured exposure per incident.

That math doesn't work for a generalist tool that costs $1,000/mo and takes a six-week implementation. It does work for a $99/mo single-purpose tool that you can self-serve onboard in five minutes.

What COIverify does (and doesn't)

We do: drag-drop or email-forward COI intake, AI extraction of 12 standard fields with confidence scores, contract requirement template matching, PASS / NEEDS REVIEW / FAIL verdicts with named exceptions, expiration alerts at 60 / 30 / 7 days, immutable audit logs.

We don't do: W-9 collection, sanctions screening, diversity tracking, SOC 2 attestation, background checks, vendor onboarding workflows. If you need those, you need a different tool — possibly several.

How to know if this fits

If three or more of these are true:

  • You have between 25 and 1,000 active vendor COIs.
  • You currently track them in Excel, Google Sheets, or a folder in SharePoint.
  • You've had at least one near-miss or actual missed expiration in the past 24 months.
  • You've looked at TrustLayer, Certificial, or myCOI and decided the price or the demo cycle wasn't worth it for your firm size.
  • Your contract template requires specific endorsements (waiver of subrogation, primary & non-contributory) and you're not confident you're catching them every time.
